Overview of the role

We are looking for a dedicated and detail-oriented individual to take on the role of a HR & Payroll Specialist in our Payroll Outsourcing Services Department. The position concerns the exclusive provision of services to a specific client, a listed and very reputable group of companies in the Energy Sector, based in Athens.

Through the role one collaborates with the company’s internal payroll team and head of departments and reports directly to the Group HR Operations Manager. The primary focus of this role is to efficiently manage employee time and attendance using the company’s HRMS Timer System, while also handling payroll responsibilities, generating reports, addressing employee inquiries, and ensuring compliance with relevant regulations.

The Opportunity

Key activities and responsibilities of this role include:

  • Being responsible for the collection, analysis, review and processing of payroll data in regards to time management of the employees (eg. new hires, digital card, leaves, overtime etc.).
  • Utilizing the Scan HRMS Timer System to accurately track and manage employee time and attendance records. Monitor and resolve discrepancies or issues related to timekeeping.
  • Generating reports and other deliverables according to company needs, to provide insight.
  • Ensuring compliance with public authorities regarding labor law requirements and with the company’s business association employment contract.
  • Managing the data integration of the Scan HRMS Timer information system to other platforms according to the company’s procedures.
  • Participating in the monitoring of employee amendments and obligations and complete all relevant declarations in the ERGANI Information System. 
  • Serving as the point of contact for employees regarding timekeeping, payroll, and HR-related queries. Addressing and resolving employee inquiries or concerns in a timely and professional manner.
  • Handling HR administrative tasks and matters of the company’s personnel in regards to the usage of the time management systems.
  • Developing knowledge of current Labour Legislation, the company’s business association employment contract.
  • Adhering to strict deadlines and providing services of the highest quality.
  • Participating in ad-hoc projects, contributing to the organization's HR and payroll-related initiatives.

Required Professional Experience & Qualifications

  • At least 2 years of working experience in a similar position
  • Degree in Accounting or Economics or Business Administration or similar
  • Very good knowledge of Greek legislation regarding insurance, labor and social security matters
  • Very good knowledge of the ERGANI information system
  • Communicative written and spoken English
  • Advanced computer capabilities, proficient user of MS Office
  • Experience with ERPs (including HRMS by Scan or similar software).
  • Ability to multitask, work under pressure and meet deadlines
  • Advanced communication skills
